Position Summary: Provides both administrative and customer service support for the branch. Is responsible for processing and entering new contracts. Will be expected to be available for inbound and outbound calls from 8:00 - 5:00 pm. Duties & Responsibilities:Professionally administers all incoming calls (primary reception), redirects accordingly (i.e. leads to sales, service complaints to a manager, etc.), and transfers to voicemail if unavailable. Handles inbound billing questions and is able to pass the call to the appropriate person if unable to resolve. Process incoming check payments, including making appropriate notes and updating corporate accounting staff. Entering and processing of new contracts into accounting software; setting up job, create the new customer, or updating accountProcess credit applicationsProcess requests for certificates of insuranceUpdate and maintain "Jobs in Progress" notes on a weekly basisProcess and maintain all bond and bid-bond requestsProfessionally requests payment status for all over-30-day invoicesPerform billing duties as neededGenerate AIA billing documentsComplete conditional and unconditional waivers as neededGenerate monthly billing worksheetsGreets all guests and employees in a professional, friendly, and hospital manner. Generates appropriate correspondence (i.e. new customer packets, contract renewals, warranty letters, O & M manuals, bill re-prints, etc.)Enters contract and permit information into appropriate programs. Uses administrative skills to perform tasks in company software including SedonaOffice, Stages, Office365, Outlook, OneNote, and other various Microsoft Office productsPerforms other duties as assigned. Education & Required Skills:High School Diploma or GED equivalentPrior experience in Accounting/AR/Collections preferredPrior contract administration experience preferredExcellent customer service and phone etiquetteMust read and speak EnglishAbility to work a full-time, 8-5 pm M-F scheduleAmbitious results oriented individualAbility to quickly and accurately prioritize daily tasks and projectsAptitude for mathematics and problem solvingStrong computer, software, and phone skillsClear communication skills (email, phone, in-person) primarily among internal departments, field technicians, sales, and customers.Ability to maintain and project a positive outlook to customers at all times.Maintains a good working environment with all employees, vendors, and customers.
